Beskrivelse: The purpose of this invitation to tender (ITT) is to select a lead consultant with responsibility for the development and form of exhibition design for The Kingdom’s Treasury at Rosenborg Castle for The Royal Danish Collection. See also appendix 4. Project Brief. The exhibition is part of the overall development of the project for a new version of The Kingdom’s Treasury at Rosenborg Castle site, which will create new exhibition spaces for artefacts with unique historic, cultural and national significance from the Royal Danish Collection. Rosenborg Castle’s new treasury is intended as an experience that visitors will find impressive and moving. The appointed exhibition designer will be responsible for developing the interpretation concept and exhibition design in close collaboration with the Royal Danish Collection and relevant stakeholders, including foundations, the Agency for Culture and Palaces and other associated consultants. The contract involves the development of the narrative and spatial design concept and detailed planning as the basis for tender and production of exhibition equipment. The commission also includes consultancy in connection with the purchase, production and installation of all the exhibition elements included in the project scope. Production and installation are expected to be put out to tender as an all-inclusive contract or as partial contracts, and the Exhibition Designer will be required to assist in the preparation and execution of these contracts. The tender process for the exhibition design is carried out before the conclusion of the competition for the design of the building that will house the exhibition. The process will therefore be based on an exhibition area with a fictitious floor plan. Importantly, it should be noted that the tenderers are not expected to present a finished proposal but rather ideas, concepts and proposals that will be developed in a collaborative process with the Royal Danish Collection and the appointed lead consultants for the building contract. The Royal Danish Collection is not legally obligated to put this contract out to tender but has chosen to do so, following the regulations in the Danish Public Procurement Act. The design Contract must be tendered as a single whole, as there must be one responsible Supplier for the design deliverable. To facilitate the selection of tenderers, applicants are requested to include references that may be used to select those who will be invited to submit a tender. The Royal Danish Collection would like to select applicants with documented experience from projects within the following areas: a) Original exhibition design and innovative exhibition solutions. b) Design of exhibitions in unique historical settings and of similar complexity. c) Design and detailed planning of exhibitions based on original historic artefacts, including display case exhibitions. d) Design of thematic interpretation concepts aimed at an international audience. e) Design and detailed planning of exhibitions subject to extraordinary requirements for climate control, lighting and security requirements. f) Experience with project management of the total design task through all its phases, in collaboration with suppliers, production and construction consultants. The included references should contain the following information: • Client name and contact person • Address • Description of the exhibition • Size of exhibition area • Brief description of applicant’s specific roles and tasks • Total budget for the exhibition design Applicants may include no more than 6 references. It is the responsibility of the applicant to ensure that the references fall under the above-mentioned categories a–f. A single reference may cover several commissions. If an applicant submits more than 6 references, the application is still in compliance, but only the first 6 will be considered. References must generally pertain to completed projects; however, up to 2 of the submitted references may be for ongoing projects. References may not be older than 8 years, counting from the completion of the project. They must be submitted as a single document and may not exceed one A4 double-sided per reference. 4 applicants will be invited to submit a tender. If more than 4 suitable applicants have applied, the Royal Danish Collection will select the 4 tenderers based on an overall evaluation of the relevance of their references. In assessing the relevance of references in relation to the various categories, the emphasis will be on the extent to which the references as a whole document the applicant’s technical and professional standing within the above-mentioned categories a–f. It will be considered particularly positive if the individual references show experience with as many as possible of these categories. In addition, it will carry positive weight the more comparable the reference is to the contract described in this ITT. Completed references will carry more weight than ongoing ones.

Oplysninger om klagefrister: Under the Act on the Complaints Board for Public Procurement etc. (the Act is available at www.retsinformation.dk), the following time limits apply to the lodging of complaints: A complaint concerning not having been selected must be submitted to the Complaints Board for Public Procurement within 20 calendar days, cf. section 7(1) of the Act, calculated from the day after notification has been sent to the affected applicants informing them which applicants have been selected, provided that the notification is accompanied by a statement of reasons for the decision in accordance with section 2(1)(1) of the Act and section 171(2) of the Danish Public Procurement Act. In other situations, a complaint concerning a procurement procedure, cf. section 7(2) of the Act, must be submitted to the Complaints Board for Public Procurement within: 1) 45 calendar days after the contracting authority has published a notice in the Official Journal of the European Union stating that the contracting authority has concluded a contract. The time limit is calculated from the day following the date on which the notice was published. 2) 20 calendar days from the day following the contracting authority's notification of its decision, cf. section 185(2) of the Public Procurement Act.
